Job Summary
|
The Student Services Coordinator is responsible for coordinating undergraduate and graduate services within Information Technology and Web Science Office. The coordinator provides a seamless interface between Departments within the School of Science, the Dean’s Office, the Registrar’s Office and the Offices of Undergraduate and Graduate Education.

Minimum Qualifications
|
Five (5) or more years of work experience in
• higher education • academic advising, student services, student affairs, career development or other related field
Relevant combinations of education, training and experience may be considered.

- Proficiency in MS Office Suite software applications
- Excellent written and verbal communication skills
- Ability to compose correspondence and reports
- Exceptional interpersonal skills with the ability to influence and build working relationships with a culturally diverse population at all levels across the Institute
- Ability to create a welcoming environment that is inclusive of students from diverse backgrounds
- Ability to efficiently multi task, work under pressure, handle frequent interruptions and meet deadlines
- Strong organizational and time management skills with emphasis on accuracy and attention to detail in a complex organizational environment

- Ability to maintain a high degree of confidentiality and apply FERPA regulations

Job Duties
|
- Assist faculty with student advising and related tasks as required. Serve as the first point of contact with students to ensure questions are answered and concerns are resolved. Collaborate with faculty and other Institute departments to enhance student success and coordinate support services.
- Coordinate and maintain communication with Office of Graduate Education, Associate Dean and Department Graduate Program Assistants (GPA). Provide administrative support of the graduate application and progress monitoring process, including monitoring financial aid processing and working closely with department GPAs within the School of Science.
- Prepare ITWS graduate student financial aid letters, Teaching and Research Assistantship (TA and RA) appointments as instructed. Obtain funding approval from business staff, enter funding and tuition data into enterprise wide systems, process notification letters and follow-up with faculty and students. Maintain updated forecast of projected faculty support for graduate students; manage the TA/RA waiver process.
- Serve as point of contact for Graduate and Undergraduate student leadership and honor society. Also act as National Administrator for the honor society. Maintain records.
- Organize and facilitate meetings, programs, and special events including but not limited to student orientations, student workshops, open house, accepted student day, graduation luncheon. Participate in and support student orientation, registration, open houses, and advising meetings. Provide student service support to the academic director and affiliated faculty as required.
- Maintain multiple student records by creation and maintenance of electronic files and use enterprise-wide systems to access data and generate reports from data as needed.
- Update and maintain undergraduate and graduate program material.
- Welcome on-site visitors; answer and route phone inquiries to appropriate personal; distribute daily mail. Ensure conference rooms and public areas are organized and well presented. Coordinate issuance of keys to departmental personnel. Administrative tasks such as managing calendars, organizing program documentation submissions.
- Oversee development of the ITWS websites; ensures websites are updated regularly; and serves as point of contact for website issues. Maintains ITWS social media accounts (Twitter and Facebook). Promotes programs and events through electronic media.

Starting Salary/Rate
|
Expected hiring range: $24.00 - $25.50
