The Office of Military Science offers an elective program to qualify male and female students at RPI for commissions as officers in the U.S. Army. The Army ROTC program has two phases: a basic course, normally taken during the freshman and sophomore years, and an advanced course, normally taken during the junior and senior years.

Job Summary

Army ROTC Administrative Associate:
The Administrative Associate for Army ROTC provides essential administrative and operational support to cadets and officers. Key responsibilities include managing cadet records, assisting with scholarship and commissioning processes, coordinating training schedules, and supporting physical fitness assessments. This role also involves maintaining military documentation, managing supplies, and assisting with various Army ROTC events such as commissioning ceremonies and training sessions. Strong organizational skills, attention to detail, and a solid understanding of Army protocols are essential for success in this position.

Army ROTC Administrative Associate Duties:

  • General Administrative Support: Similar to Navy ROTC, Army ROTC Administrative Associates handle general administrative tasks, such as welcoming visitors, answering phones, maintaining files, and assisting with event coordination.
  • Cadet Support: In Army ROTC, administrative associates may assist in managing cadet information, such as managing cadet records and organizing activities specific to the Army's ROTC program, including preparation for field training exercises and orientation programs.
  • Coordination of Army-specific Events: They may assist in planning events such as the Army ROTC Ball, Field Training Exercises (FTX), and other events like commissioning ceremonies and awards banquets.
  • Coordination with Army Recruiting: They may also have tasks related to coordinating with Army recruiters and ensuring cadets' compliance with Army regulations and policies.
  • Handling Army-specific Forms and Applications: This can include paperwork related to scholarships, Army-specific physicals, and managing ROTC-specific requests.

Job Summary

Navy ROTC Administrative Associate:
The Administrative Associate for Navy ROTC offers critical support to midshipmen and officers by managing administrative tasks such as processing nominations, handling scholarship paperwork, and overseeing commissioning applications. This role also involves coordinating Navy ROTC events, including formal functions such as the Birthday Ball and Commissioning Ceremony, and supporting the Commanding Officer and Executive Officer in managing daily operations. The position requires proficiency in financial transactions, inventory management, and familiarity with Navy military procedures and protocols. Strong interpersonal skills and the ability to maintain confidentiality are key in this role. 

Navy ROTC Administrative Associate Duties:

  • General Administrative Support: This role involves similar general office support as in the Army ROTC role (e.g., welcoming visitors, answering phones, maintaining records, assisting with logistics for events).
  • MIDN (Midshipmen) Support: Navy ROTC administrative associates specifically handle the needs of MIDN (Midshipmen), which could include managing schedules, handling nomination paperwork, and processing Navy-specific applications (e.g., Navy ROTC scholarships, commissions).
  • Navy-specific Event Coordination: They assist in organizing Navy-related events such as the Navy Birthday Ball, Commissioning Ceremony, and other joint service events like the Joint Service Military Ball.
  • Navy Protocol: There may be an additional emphasis on Navy-specific protocol, regulations, and paperwork, especially related to uniform standards and Navy-specific training programs.
  • Financial Management: Navy ROTC administrative associates might handle more detailed financial transactions related to Navy budgets and ROTC expenses, and ensure adherence to Navy-specific budgeting processes.

Minimum Qualifications

Qualifications for both Army and Navy ROTC Administrative Associate roles are generally similar, but they may differ slightly due to the nature of the military branch and operational requirements.

  • High school degree or equivalent
  • Two (2) or more years related administrative experience

Relevant combination of education, training, and experience may be substituted for the above qualifications.

Minimum Knowledge, Skills, and Abilities

  • Excellent in person, telephone and electronic customer service skills
  • Ability to operate office equipment including multi line phone, copiers, fax machine, printers, etc.
  • Knowledge of alpha/numeric filing systems
  • Demonstrated proficiency in MS Office (Word, Excel, Access, Outlook)
  • Ability to manage conflicting priorities and the demands of internal and external constituencies in a professional and calm manner
  • Ability to maintain a high level of discretion and confidentiality
  • Ability to work with diverse populations in a team environment
  • Planning, organizing and effective time management skills
  • Ability to work effectively under pressure and meet established goals and objectives
  • Excellent problem-solving skills
  • Ability to plan and organize work
  • Ability to work independently and as part of a team

Business Hours: Monday - Friday

Travel

Local travel between campus locations only

Driving

Driving a personal vehicle for non-passenger use

Starting Salary/Rate

Expected hiring range: $17.45 - $19.00 per hour (40 hours per week, 12 months per year)
