Job Summary

The Operations Associate will support the overall mission of the Student Health Center by assisting students, faculty, staff, families and visitors of the medical and/or counseling center. The Operations Associate will be responsible for the organization and exchange of confidential health information through verbal, written and computerized information systems.

Minimum Qualifications

  • High School Diploma or equivalent
  • 2 or more years of related experience

Applicants must meet stated minimum education and experience requirements.

Preferred Qualifications

  • Professional Certification in Medical Administrative Assistant (CMAA)
  • Experience in a Health Care setting
  • Certificate in Medical Administrative Assistant (CMAA) 

Minimum Knowledge, Skills, and Abilities

  • Ability to communicate effectively with a diverse population
  • Demonstrated proficiency with Microsoft Office and e-mail
  • Excellent customer service and telephone skills
  • Ability to prioritize, plan, and organize
  • Ability to work independently and as part of a team
  • Ability to compose routine correspondence and reports
  • Strong interpersonal skills and the ability to work effectively with a wide range of constituencies
  • Ability to assess situations, consider alternatives and chooses appropriate course of action

Representative Job Duties

  • Welcome on-site visitors and serve as lead in providing customer service to students, visitors, and other guests. Determine nature of business, and announce visitors to appropriate personnel, assist visitors in completing any necessary forms, process form data as needed, and forward completed forms to appropriate personnel
  • Answer and route telephone calls; respond to inquiries as appropriate or relay inquires to appropriate personnel; take and transmit messages to appropriate personnel or transfer calls to voice mail
  • Respond to data gathered either by phone or face to face and determine appropriate level of service. Support student requests by responding with empathy and a positive, helpful demeanor
  • Schedules appointments using computerized system, sends student appointment reminders, checks students in for appointments, and accurately documents reasons for appointments and a call back number for each student
  • Maintain the reception and waiting areas in a neat and orderly manner
  • Process record requests for current and previous patients within 48 hours of receipt
  • Scan all patient related reports and other documentation within 24 hours of receipt
  • Participate in cross training of other positions in the Student Health Center to ensure efficient office operations
  • Performs other duties as assigned

Starting Salary/Rate

Expected hiring range: $17 - $18.54 per hour
