Job Summary:
|
The Administrative Specialist provides administrative support for the Athletics Department, as assigned. The Administrative Specialist will support the logistics of facility usage including scheduling, rental agreements and game operations. The Administrative Specialist maintains records and agreements with outside agencies and institutions that utilize athletic facilities, and serves as a customer service representative, forming relationships with internal and external customers as well as staff. The Administrative Specialist assists with NCAA hosting responsibilities and events, as well as daily operational activities.

- Strong organizational and time management skills
- Excellent customer service skills and ability to interact with a diverse population in a professional manner
- Demonstrated proficiency with Microsoft Office and ability to learn enterprise specific software
- Ability to work effectively under pressure and meet established goals and objectives
- Written and verbal communication skills
- Ability to work in a team environment and communicate effectively with other employees, faculty, and students in the campus community
- Ability to perform basic financial functions
- Ability to work independently with minimum supervision

Representative Job Duties:
|
Athletic Facilities Scheduling: Provide administrative support for scheduling all Athletic Facilities. Utilize EMS to schedule and communicate weekly facility usage. Ensure all event logistics comply with facility usage policies.
Student Worker Support: Assist with hiring student workers and schedule the workforce according to department needs (equipment room, athletic training, game-day operations). Provide guidance and leadership to student workers.
Game Day Coordination: Communicate with visiting teams prior to arrival, including connecting them with local sponsors (hotels, restaurants, etc.). Assign staff for Game Day oversight and support semi-annual training for Game Day staff for Division III varsity events.
NCAA Championship Support: Assist with the submission of NCAA bids to host Division III varsity Championships.
Fundraising Clinic Assistance: Support coaches with internal fundraising clinic activities, including registration and promotion.
Other Duties: Perform other duties as assigned.

20 Hours Part time during : Business Hours with weekends or evenings occasionally required

Local travel between campus locations only |

Starting Salary/Rate:
|
Expected hiring range: $19.50
Pay transparency disclosure: The selected candidate’s salary will be determined based on factors that include the available budget, internal equity, and the final candidate’s qualifications, experience, education and other job-related credentials.
