Job Summary

The Operations Associate serves as the primary point of contact in the Office of the Registrar for students, parents, faculty, and staff. The incumbent responds to requests for information and assistance regarding all aspects of student registration and academic records, and performs routine registration actions on behalf of students. The Operations Associate processes all transcript requests in accordance with FERPA regulation.

Minimum Qualifications

  • High School Diploma or GED required

  • Minimum of two (2) years of related experience; university experience in a student services–related office preferred

  • Experience providing customer service via phone, email, and/or in-person interactions

Relevant combinations of education, training, and experience may be considered.

Minimum Knowledge, Skills, and Abilities

  • Excellent verbal and written communication, organizational, and interpersonal skills required

  • Proficiency with database software applications and strong attention to detail

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

  • Ability to foster a collaborative team environment in a high-pressure, fast-paced setting

Job Duties

Essential Duties and Responsibilities:

  1. Interact daily with Rensselaer students, families, faculty, alumni and staff in a professional, efficient, and effective manner. Respond to questions and requests for information (i.e. enrollment and graduation certifications) received via the telephone, fax or email with a goal of 24 hour turnaround.

  2. Process all transcript requests in accordance with FERPA regulations and maintain a 24-48 hour turnaround.

  3. Access and analyze student records within database systems and office files.

    • Interpret student status, including registration, degree program, enrollment, grading, and graduation status.

    • Advise students on requirements and procedures for submitting documentation related to course registration, degree programs, full-time enrollment certifications, and degree applications.

  4. Check forms submitted at the front counter for accuracy and completeness. When possible, process the form immediately while the student waits for confirmation.

  5. Advise and assist students on the use of the Student Information System for registration, bursar account and financial aid status.

  6. Represent the Registrar’s Office in a variety of functions such as Student Orientation registration and parent information sessions, Graduation Fair and Status Check.

  7. Coordinate with other student service and academic departments in order to provide answers to customer questions and concerns without their having to migrate from office to office.

  8. Perform other duties as assigned.

Shift

Business Hours: Monday - Friday

Starting Salary/Rate

Expected hiring range: $17.00 - $18.00 per hour

This hiring range is provided as Rensselaer’s good faith estimate of the expected hiring range at the time of posting.
