Job Summary

As a direct report to the Provost, the Manager of Administrative Operations works in partnership with the Manager of Academic Operations and Budget to establish and oversee administrative and operational processes and protocols for the Office of the Provost and the Institute’s schools. The Manager works with the Provost to develop and implement administrative and operational policies and procedures as well as develop and implement planning and quality initiatives. The Manager will represent the Office of the Provost on administrative affairs to the Rensselaer Community and will serve as a resource to faculty and staff to ensure consistent administrative and operational practices that comply with Institute policies. The Manager will actively participate in the short and long-range performance planning for the academic portfolios and will lead the development of training for administrative staff.

Minimum Qualifications

Bachelor’s Degree and three (3) years of relevant professional work experience.  Relevant experience includes a background in the operationalization of policies.

Relevant combinations of education, training and experience may be considered.

Preferred Qualifications

 
• Experience in an academic setting is preferred
• Supervisory experience preferred

Representative duties

Representative duties include the following

  • Work with the Manager of Academic Operations and Budget to execute and communicate the faculty hiring plan. 
  • Reviewing all elements of offer packages and position forms, drafting Provost offer letters, and ensuring all approvals have been obtained. Write appointment summaries for review by the Provost, the President and the Board as necessary. 
  • Manage Promotion and Tenure (P&T) process for the Provost.  Write P&T case summaries for review by the Provost, the President and the Board as necessary. Organize and track case information.
  • Manage reappointments, leaves of absence and sabbatical requests, and emeriti requests. 
  • Organize and track data pertaining to new hires, appointment renewals, salary, Named Chairs, administrative appointments, sabbaticals and leaves, and other special faculty lists or data. 
  • Organize the annual faculty events and coordinate annual faculty awards process.
  • Prepare special reports and assignments on faculty or related office items.
  • Provide leadership to administrative areas regarding the Institute's academic policies and procedures. 
  • Oversee assigned administrative staff and ensure their tasks are completed accurately and efficiently.
