Job Summary

The Operations Specialist is responsible for the accurate and timely computerized reporting of labor for the biweekly payroll for assigned department(s); supports the Facilities Customer Service Center through a Cloud based Maintenance Management System; which includes responding to requests for service, entering and closing out service requests, answering telephones, etc. The operations specialist will also have administrative duties specific to supporting Physical Plant staff.

Minimum Qualifications

  • HS Diploma or equivalent
  • Three (3) years of related work experience that includes customer service and using a computer

  • Ability to operate a computer and demonstrate proficiency with word processing software and spreadsheets and have accurate keyboarding skills.

Job Duties

  1. Process bi-weekly payroll for assigned Administration Division staff according to Institute policies, guidelines and Division practices.  Work with Payroll, supervisors and employees to solve problems and discrepancies that arise. Keeps payroll informed of payroll and employee related issues or concerns and seeks counsel as needed.  Keeps the Manager of the FCSC informed on payroll issues as appropriate.
  2. Receives and forwards employee related injury/illness paperwork to Human Resources and schedules employee appointments with the Institute’s medical contractor for treatment of on-the-job injuries/illness and return to work evaluations.  
  3. Updates/manages employee information on Computerized Maintenance Management System for existing and new employees. 
  4. Schedules staff for Asbestos Abatement refresher courses for recertification.  Submit appropriate paperwork and payment to NYS Health Department for renewal of staff certifications. 
  5. Assist the Operations Manager with oversight of the Annual Fire Door Inspection Program database through a Cloud based Maintenance Management System. 
  6. Support the Operations Manager in managing our Office of Fire Prevention (OFPC) internal database.
  7. Answers incoming calls, screen and route callers, record messages and answer inquiries, as well as set up and maintain appropriate files.
  8. Communicates pertinent/accurate information regarding service requests/complaints and emergencies to service personnel and supervisors via radio, telephone and in person. Provides feedback to requestors regarding work order status and progress.
  9. Enters, prints, and closes out work orders in CMMS and ensures that labor hours are accurate for all Physical Plant staff as required.
  10. Supports special projects and other duties as assigned.

Business Hours: Monday - Friday

Starting Salary/Rate

Expected hiring range: $18.00- $20.00
