Job Summary

The Operations Manager for the Student Health Center serves as a member of the leadership team for Student Health & Wellness, managing all operational aspects of the Student Health and Counseling Centers and advising the Associate Vice Provost for Health and Wellness, and collaborating with internal and external stakeholders.

The Manager of Operations oversees departmental systems and communications, manages student health and dental insurance programs, leads quality improvement efforts, ensures compliance with accreditation standards and state and federal regulations, and monitors the department budget. In addition, the Manager directly supervises the front office and support staff for the department to ensure quality services are provided to students, parents, and internal stakeholders.

Minimum Qualifications

  • Bachelor's degree in public health, healthcare administration, health information technology, business, or related field
  • Five (5) or more years operational and supervisory experience in a healthcare related industry, or similar

Relevant combinations of education, training and experience may be considered.

Preferred Qualifications

  • Master's degree in public health, healthcare administration, health information technology, business, or related field
  • Experience in the following is preferred:
    • Practice management in a healthcare setting
    • Electronic health record management
    • Health insurance industry 

Minimum Knowledge, Skills, and Abilities

  • Ability to learn computerized health information systems
  • Ability to analyze and interpret reports, documents and statistical data
  • Ability to perform budget reporting and forecasting, as well as account reconciliation
  • Knowledge of financial software, including spreadsheet, database, and data warehouse
  • applications
  • Excellent verbal and written communications skills
  • Ability to handle multiple priorities and deadlines
  • Attention to detail and excellent organizational skills
  • Ability to work effectively in a team-oriented and diverse environment, and with diverse constituents

Representative Job Duties

  • Coordinate the utilization of Student Health Center (SHC) electronic medical record system (PyraMed), and all related hardware and software applications. This will include: configuring the system for users; training staff; developing custom queries to support clinical and administrative data analysis; facilitating system upgrades; and assuring that connections to on- and off-site databases are functional. 
  • Serve as primary point of contact for student and parental concerns, serving as a patient advocate. Maintain an empathetic and understanding approach to student and parent concerns while accurately communicating policy.
  • Update and maintain departmental social media and website to ensure accurate information is provided for all Health and Counseling Center users. Train other staff on the effective use of these platforms. 
  • Participate in new student orientation, current student events, and other activities designed to communicate Student Health and Wellness policies and services to students and prospective students. 
  • Collaborate with internal and external stakeholders and manage databases to ensure accurate health and dental insurance plan enrollment, claims, and payment data. Work with Procurement and insurance companies/brokers to establish specifications for health and dental insurance plans based on student need and quoted premiums. 
  • Provide supervision, direction and guidance to operations staff, including commendations and discipline; make and support recommendations for hiring and promotions; oversee the recruitment and selection of staff to assist in attainment of goals and objectives; carry out human resource functions for direct reports including hiring, evaluating, training, developing, supporting, coaching, and when necessary, counseling and initiating disciplinary actions; review and approve payroll information and personnel transactions in accordance with established policies and deadlines.
  • Lead the development, implementation, and evaluation of quality improvement strategies and initiatives across all health operations, ensuring alignment with organizational goals and regulatory standards. This will include establishing and monitoring key performance indicators (KPIs), conducting university-wide health and wellness surveys and recommending areas for improvement to department leadership.
  • Oversee all aspects of student compliance with state and federal healthcare and immunization requirements. Coordinate with New York State systems to report on compliance with state regulations.
  • Oversee AAAHC accreditation compliance which includes, but is not limited to, maintaining compliance related documentation; monitoring updates in standards and alerting SHW leadership to changes needed to maintain compliance; and coordinating accreditation site visits.
  • Use OAS to track budget and spending in the Student Health Center. In collaboration with the Senior Business Manager for Student Experience, provide forecasted financial information and the final operating budget for Student Health & Wellness.

Starting Salary/Rate

Expected hiring range: $72,000 - $77,000

Pay transparency disclosure: The selected candidate’s salary will be determined based on factors that include the available budget, internal equity, and the final candidate’s qualifications, experience, education and other job-related credentials. This hiring range is provided as Rensselaer’s good faith estimate of the expected hiring range at the time of posting.
